How the Chief Email Database automates the Department of Transportation’s Public Access Program
The Chief-and-VP-of-safety, V.P. of safety and security for the Navy (NSA) maintains the chief-and-vp-of-safety email list. This list serves as a central repository of safety and security information for the entire fleet of Navy ships. This database serves as a central clearinghouse for all security-related information. It contains security policies, directives, training, and best practices developed by the Navy.
To operate this database, each ship in the fleet is maintained responsibly for submitting their email addresses so that they may be added to the database. Once any ship submits its email address, it is checked to ensure that the email address is valid and up-to-date. If an email address is found to be outdated, it is either deleted or removed from the list. Emails that are not included on the database are then flagged as “spam” which slows down the network.
In order for the fleet safety office to operate efficiently, all email addresses of Navy safety officers must be included in the database. To achieve this end, all Navy safety officers are required to complete a form detailing their name, address, title, and position within the Navy. Additionally, all email addresses used by the safety officer must be registered with the chief-and-vp-of-safety email database. These steps ensure that all Navy safety officers have access to a uniform system that maintains contact information in a convenient manner.
When a ship’s safety officer uses his or her email address to update or add contact information to the database, that email address is stored with the system. The system then uses that information to save and reproduce the necessary email records for the user. In other words, whenever an email address is added or updated, it is recorded in the database. Updates are also made whenever ships change their name or status.
Now that you know how your email address gets stored, you are probably wondering what happens to it. In some cases, personal emails are deleted by the spam filter. However, emails that are authorized by the Chief and the VPs are typically kept. These authorized emails are usually stored in the “services” folder on the email client. If a user forgets to update his/her email account on the chief-and-vp-of-security email server, the service can forward an authorized email message to that user.
Fleet and safety operations require an organized approach to archiving and retrieval. With the use of the email database, admiralty records, safety orders, and other pertinent ship information are automatically available to every chief and his or her subordinates. This database not only enhances efficiency but also increases company security.
